Think about your expected outcome, justify the thing that has been offered and decide whether to say yes or no.

Understand that saying no is not a bad thing: We may think that saying no to others is not a good thing. It may be harmful to our relations. But to be exact, it does no bad for your relationship if the person you are saying no is intelligent enough.

Use the most comfortable communication method for you: you must use the communication medium to say know with which you are comfortable with. The comfortable communications may include messaging, face-to-face conversation, emailing, telephone calls and many more.

Simplify it: The person you are saying no should be understood clearly about the reason for which you want to say no. provide a simple, short but accurate explanation. Don't try to over-explain the reason. It will be annoying for the other party.
